Meet directors carry the entire operational weight of a track and field competition. When something goes wrong — a timing malfunction, a missing implement, a scheduling conflict — it lands on the meet director to fix it. A comprehensive pre-meet and meet-day checklist won't prevent every problem, but it will prevent the most common ones.
Use this checklist as a starting point and adapt it to your facility, meet size, and staff structure.
48–72 Hours Before the Meet
Entries and administration
- [ ] Close entries and run a final count of athletes per event
- [ ] Generate heat sheets for track events, flight sheets for field events
- [ ] Send heat sheets to head coaches for review — allow 24 hours for scratch requests
- [ ] Confirm final scratch list and reprint affected sheets
- [ ] Assign bib numbers and prepare bib packets per team
- [ ] Prepare the head table with scoring sheets, event order, and timing printouts
- [ ] Send the schedule and check-in timeline to head coaches
Venue and equipment
- [ ] Confirm facility access time with the athletic director or facility manager
- [ ] Inspect track surface for debris, cracks, or standing water
- [ ] Inspect all field event areas: long jump pit, shot put circle, high jump/pole vault pit
- [ ] Confirm all implements are on-site and meet specification (weigh shot puts, discuses, etc.)
- [ ] Verify timing system is functional (FAT camera, hand timers, backup stopwatches)
- [ ] Test the public address system and confirm mic placement
- [ ] Confirm restroom and concessions access if applicable
Officials
- [ ] Confirm all officials' assignments by name and station
- [ ] Send officials the schedule, event order, and their specific responsibilities
- [ ] Confirm a backup for critical stations (starter, head field judge)
- [ ] Brief new officials on your specific procedures (foul call protocol, how to radio in results)
Day Before the Meet
Field event preparation
- [ ] Rake all sand pits and set to meet depth
- [ ] Check and set pole vault pit padding
- [ ] Measure and mark throwing sectors with flags or cones
- [ ] Confirm cage is secure for hammer/discus if applicable
- [ ] Set up wind gauges at appropriate distances for long/triple jump and sprints
- [ ] Lay out flight sheets, clipboards, red/white flags, and measuring tapes at each venue
- [ ] Charge tablets or phones if using digital flight sheets
- [ ] Test laser measurement device batteries and calibration
Timing setup
- [ ] Set up FAT camera(s) and verify alignment with finish line
- [ ] Configure timing software with your event order
- [ ] Test data cable connections between camera and results computer
- [ ] Set up finish line printer if printing splits
Administration
- [ ] Prepare team check-in table with bib packets sorted by team
- [ ] Print protest forms, scoresheets, and heat sheets in quantity
- [ ] Confirm scorer, announcer, and results table staff arrival time
Morning of the Meet
Facility open (2–3 hours before first event)
- [ ] Open facility gates and restrooms
- [ ] Set up team check-in table
- [ ] Post event order and heat sheets at team areas
- [ ] Set up water stations for athletes and officials
Field event final check (1.5–2 hours before first event)
- [ ] Walk each field event venue with the head field judge
- [ ] Confirm implements are at each venue, correctly labeled, and within spec
- [ ] Verify wind gauge is functioning at each applicable venue
- [ ] Confirm pit depths and surface conditions
- [ ] Confirm pole vault pit is correctly positioned and all foam sections are secure
Track final check
- [ ] Confirm all hurdle heights are correctly set for each event
- [ ] Confirm stagger lines are clearly marked
- [ ] Test starting blocks and confirm enough sets are on-site for demand
- [ ] Walk the finish line — confirm camera angle, trigger position, and alignment stakes
Officials briefing (1 hour before first event)
- [ ] Gather all officials for a 10–15 minute briefing
- [ ] Review protest procedures
- [ ] Confirm communication channels (radio, phone, runner system)
- [ ] Confirm results reporting protocol for each venue
- [ ] Brief field officials on tiebreaker procedures
During the Meet
Administrative flow
- [ ] Announce each event 15–20 minutes before it begins
- [ ] Confirm each flight or heat is checked in before it starts
- [ ] Accept scratches in writing — communicate to the affected official immediately
- [ ] Confirm results from each event before posting — double-check tiebreakers
Field event flow
- [ ] Confirm attempts are being recorded accurately (digital or paper)
- [ ] Check with each field official at the midpoint of their event
- [ ] Collect results from each venue when the event concludes and post to the results board
Track event flow
- [ ] Confirm heat sheets match the starting list at each heat
- [ ] Collect FAT results after each running event
- [ ] Post results within 10 minutes of each event concluding
Communication
- [ ] Address protests promptly — delay increases tension
- [ ] Keep the announcer updated with results as they're confirmed
- [ ] Notify head coaches of any schedule changes immediately
Post-Meet
Results
- [ ] Compile final team scores
- [ ] Confirm individual results are accurate for all events
- [ ] Post full results to the team bulletin board or meet management platform
- [ ] Submit results to Athletic.net within 24 hours
Equipment
- [ ] Collect all flags, measuring tapes, and clipboards from field event venues
- [ ] Return implements to storage
- [ ] Rake sand pits and reset pit covers
- [ ] Collect and return starting blocks, hurdles, and crossbars
Administration
- [ ] File protest records if any were submitted
- [ ] Send results summary to participating coaches
- [ ] Thank officials — confirm any payment or stipend paperwork
